Client Databases - 4/18/2007 4:36:20
I'm wondering what others use to record their client details, client's site specs, work diary, communications and anything else relevant. Although I don't really use a "database", I call it that even though it's an excel spreadsheet with links to other spreadsheets. Here's what I have, is it similar to anyone else's, does anyone have any better suggestions or know of some software that can handle all of this perhaps a little more neatly? Here's what i currently have set up in Excel: - An XLS file with a list of all clients, the contact person's name, contact phone number and the date I last did any work on their site or updated their records. (i.e. I might have finished their job in January, but they wrote me an email in March, so that date in March gets recorded as the last update).
- Then, by clicking on a client's name, you go to their individual spreadsheet which has 7 parts:
1. All their details, contact details, site address, host, host's details, user names, passwords etc. 2. Phone Record - date, time, person, call duration (with running total), call cost. 3. Email Record - same as above 4. Postal Record - same as above 5. Meeting Record - date, time, duration, link to transcript or minutes in ms word format 6. Invoices - date, details, cost, date paid 7. Work diary - date, work details and time spent + running total It might be a bit "anal", but it really doesn't take that long to update each day or week, but I'm wondering whether anyone else keeps such records and/or whether anyone knows of a program that will make it a bit easier to keep these records?

No okay, I'll do some screenshots of what I've set up using Excel and Word and post it here, probably tomorrow. I was sure I was doing things a very convoluted way, but perhaps I'm not?

ModernBill for hosting, SugarCRM for client information, Cerberus Helpdesk for communication, and then QuickBooks for invoicing and accounting.
